The Guelph Hood Cleaning Terms of Service are the working conditions for every kitchen exhaust cleaning visit booked by phone or through this website: how a kitchen is quoted, what the price covers, what the signed certificate records, what the site prepares before the crew arrives, and how payment, rescheduling and disputes are handled. This page is not itself a contract. The agreement for any one kitchen is its written quote, and where the quote and this page differ, the quote governs. The laws of Ontario apply to the work. The walk-through and the written quote

The walk-through is free. Before anything is priced, a crew member visits at no charge and looks at the canopies, the filters, the plenum, the duct route and its access panels, the rooftop fan and the way onto the roof. Nothing is cleaned during the walk-through and nothing is owed for it.

What the quote covers. The written quote arrives within 24 hours of the walk-through. It lists each canopy and its filters, the plenum, every duct section the crew can reach, and the fan. It gives one price for that scope. Anything needing its own approval, such as a hinge kit, rooftop grease containment, a new access panel or a fan repair, is listed as a separate line. Only what appears on the quote appears on the invoice.

How long the quote holds. The quote is good for the period printed on it. After that date, or after a change in menu, appliances or opening hours, call before booking so the scope can be checked.

Published starting prices. From $585 per visit for a single-hood kitchen up to ten feet and from $995 per visit for a multi-hood kitchen of two to four canopies are starting points, not an offer for a particular kitchen. Larger systems are quoted on site after a free walk-through. Fan repair, deep cleaning and solid-fuel appliances are quoted per job after inspection.

Conditions found during the visit. If a section turns out to be corroded, blocked, unsafe or unreachable, work on that section stops and you are told. Nothing is added to the invoice without your approval.

The signed certificate: what it asserts and what it does not

What it asserts. The certificate is a signed health and safety document that references the published NFPA 96 standard. It records which sections of the system were cleaned and on what date, names any section that was not reached and why, and is accompanied by before-and-after photographs of every cleaned surface.

What it does not assert. It is not a fire-code compliance certificate issued by any authority. It is not an inspection by the authority having jurisdiction, which in the City of Guelph is the Guelph Fire Department and in Fergus and Elora is Centre Wellington Fire Rescue. It is not a promise that the premises will pass a fire inspection or a visit from Wellington-Dufferin-Guelph Public Health. It is not a certification of Guelph Hood Cleaning or its operating crew. Guelph Hood Cleaning references the published NFPA 96 standard and is not affiliated with NFPA.

What remains with the operator. Cleaning at the right interval is one part of meeting the Ontario Fire Code, which references NFPA 96. Record keeping, suppression system maintenance, filter handling between visits and safe operation of the line stay with the kitchen. The NFPA 96 page explains the standard.

Site access, safety, roof access and scheduling

Protection of equipment. Before any chemical is sprayed, the cooking line is covered with plastic sheeting and the floor beneath the hood is protected. Appliances are left in place unless the quote says otherwise. Proof of WSIB coverage and liability insurance is supplied before work begins.

What the kitchen provides. Entry at the agreed time, a cold line, and food and open containers put away. Where the fan is in scope, the customer isolates power to the fan at its disconnect, or has an electrician do so, before the crew arrives.

Roof access and landlord permission. The fan cannot be cleaned from inside the kitchen. The customer arranges roof access, the roof key and, in a plaza or a leased building, the landlord or property manager's permission before the visit. Where the roof cannot be reached on the night, everything reachable from inside is cleaned, the fan is recorded as not reached, and a return visit is booked once access exists.

Scheduling. Visits are booked overnight or between services. A kitchen with a fixed closure, a hall with a rental calendar or a plant with a scheduled shutdown should book ahead so the visit lands inside that window.

Cancellation and rescheduling. Reasonable notice is expected in both directions. The only cancellation charge that can apply is the one printed on the quote. A visit Guelph Hood Cleaning cannot keep is rebooked at no cost to you.

Scope, payment, photographs, liability and governing law

In scope. Cleaning of the hood, filters, plenum, duct and rooftop exhaust fan; fan repair and installation, hinge kits and rooftop grease containment when they appear on the quote; and fire-prevention degreasing of the kitchen behind and under the line when quoted. The services page describes each.

Out of scope. Building HVAC, air duct cleaning, coil cleaning, dryer vent cleaning, pressure washing, janitorial and sanitation contracts, hood installation, gas fitting, electrical work and fire suppression servicing are not offered through this site.

Payment on completion. The invoice matches the quote plus any item you approved afterwards. Payment is due on completion of the visit unless a different arrangement was agreed in writing before the booking. The certificate and photographs are released with the invoice.

Photographs. Before-and-after photographs of every cleaned surface form part of the record of the visit and are supplied to you with the certificate. A copy is kept so the certificate can be reissued later.

Limitation of liability, in plain terms. Pre-existing conditions such as corroded duct, a cracked roof membrane or a seized fan are photographed before work begins and are not the crew's responsibility. Except where Ontario law does not allow such a limit, liability for any claim arising from a visit is capped at the amount invoiced for that visit. No liability is accepted for lost trade, for the result of an inspection by any authority, or for a condition the customer knew about and did not disclose.

Governing law. These terms and every job carried out under them are governed by the laws of Ontario and the federal laws of Canada that apply in Ontario. Any dispute is heard in Ontario.

Terms of service: frequently asked questions

Does the certificate mean the Guelph Fire Department has passed the kitchen?

The certificate is not an approval from the Guelph Fire Department or any other authority. It records that the listed sections were cleaned with reference to the published NFPA 96 standard on a stated date. A fire inspection covers the whole premises and is carried out by the authority, not by the cleaning crew.

What happens when the crew finds duct that is not on the quote?

The extra section is reported, photographed where possible and quoted separately. It is not cleaned and billed without your approval, and the certificate records it as not reached until it is.

Who is responsible for the roof key and landlord permission?

The customer. A tenant in a plaza on Stone Road or Woodlawn Road usually needs the landlord or property manager to agree before the crew goes up. Start that conversation before booking, because a locked hatch is the commonest reason a fan is recorded as not reached.

When is payment due?

Payment is due on completion of the visit unless a different arrangement was agreed in writing before the booking. The invoice, the certificate and the photographs arrive together.

Does the free walk-through commit a kitchen to booking?

No. The walk-through commits the kitchen to nothing. The written quote follows within 24 hours and can be accepted, declined or held for the period printed on it.
